Please read these terms of use carefully before using the Aesthetidocs website, mobile app, or online appointment booking platform (the site) – your use of the site is subject to these terms.

The site is operated by Aesthetidocs Limited (Aesthetidocs, we, our or us) of Lockview House, 49 Lockview Road, Belfast, Northern Ireland, BT9 5FJ.

By using our site, you confirm that you accept these terms and that you agree to comply with them. If you do not agree to them, you must not use our site.

Our site is a service operated by us to facilitate the arranging and managing of bookings with aesthetic treatment clinics. These terms only apply to the booking management process. You may be subject to additional terms and conditions with your treating clinic or practitioner which govern your relationship with them and any services they provide to you.

Authorization to use the site

Subject to your compliance with these terms, you may access or use the site solely for the purpose of arranging, managing, and paying for bookings with clinics or practitioners offering aesthetic treatment services.

You must not access or use the site except as permitted by these terms. In particular, you must not and must not permit any other person to:

  • Pretend that you are, or that you represent, someone else, or impersonate any other individual or entity when using the site.
  • Resell, assign, transfer, distribute or provide others with access to the site or any of our materials.
  • Copy, modify, frame, repost, publicly perform or display, sell, reproduce, distribute, or create derivative works of the site.
  • Use the site to transmit, publish or communicate material that is defamatory, offensive, abusive, indecent, menacing or unwanted.
  • Use the site in any way that damages, interferes with or interrupts the availability of the site.
  • Introduce malicious programs into our hardware and software or our hardware, software and services which are integrated and operate together, including our networks, including viruses, worms, trojan horses and e-mail bombs.
  • Reveal your account password to others or allow others to use your account.
  • Use the site to carry out security breaches or disruptions of a network. Security breaches include accessing data where you are not the intended recipient or logging into a server or account that you are not expressly authorised to access or corrupting any data (including network sniffing/monitoring, pinged floods, packet spoofing, denial of service and forged routing information for malicious purposes).
  • Use any program/script/command, or send messages of any kind, with the intent to interfere with, or disable, any person’s use of the site.
  • Send any unsolicited messages through or to users of the site or to send any form of harassment via email, or any other form of messaging, whether through language, frequency, or size of messages or use the site in breach of any person’s privacy (such as by way of identity theft or “phishing”).

Any non-compliance by you with these terms shall give us the right to suspend provision of the site to you and access to your account, and to terminate our relationship with you without liability.

Reservation of rights

Aesthetidocs and its licensors each own and retain their respective rights in and to all logos, company names, marks, trademarks, copyrights, trade secrets, know-how, patents and patent applications that are used or embodied in or otherwise related to the site. Aesthetidocs grants no rights or licenses (implied, by estoppel, or otherwise) whatsoever to you under these terms.

Information provided to us

You are solely responsible for all data, information and other content, that you upload, post, or otherwise provide or store in connection with or relating to the site.

By providing us any information through the site, you grant Aesthetidocs a worldwide, non- exclusive, perpetual, irrevocable, royalty-free, fully paid, sublicensable and transferable license to use, modify, reproduce, distribute, display, publish and perform that information in connection with the site. Aesthetidocs may remove or disable any information provided by you at any time for any reason, or for no reason at all.

You agree that we may share any information provided by you with the treating clinic or practitioner with whom you are seeking to make or have made an appointment.

Your commitments

You represent and warrant to Aesthetidocs that your activity on the site does not and will not violate, infringe, or misappropriate any third party’s copyright, trademark, right of privacy or publicity, or other personal or proprietary right.

You represent and warrant that all information you provide to us through the site is complete, accurate and not misleading. You must ensure that you promptly provide us with any updates or changes to any information previously provided to us.

Disclaimer

THE SITE AND ITS CONTENT ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITH ALL ERRORS AND DEFECTS AND WITHOUT ANY WARRANTIES OF ANY KIND, AND AESTHETIDOCS EXPRESSLY DISCLAIMS ALL REPRESENTATIONS AND WARRANTIES, INCLUDING ANY IMPLIED WARRANTIES OF ACCURACY, COMPLETENESS, MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE OR NON-INFRINGEMENT, AND ANY REPRESENTATIONS OR WARRANTIES ARISING FROM COURSE OF DEALING, COURSE OF PERFORMANCE OR USAGE OF TRADE. YOU ACKNOWLEDGE THAT AESTHETIDOCS DOES NOT WARRANT THAT YOUR ACCESS OR USE OR BOTH OF THE SITE AND ITS CONTENT WILL BE UNINTERRUPTED, TIMELY, SECURE, ERROR-FREE OR VIRUS-FREE, AND AESTHETIDOCS DOES NOT MAKE ANY WARRANTY AS TO THE RESULTS THAT MAY BE OBTAINED FROM USE OF THE SITE AND ITS CONTENT. NO INFORMATION, ADVICE OR SERVICES OBTAINED BY YOU FROM AESTHETIDOCS OR THROUGH THE SITE WILL CREATE ANY WARRANTY NOT EXPRESSLY STATED IN THESE T&Cs AND YOU SHOULD NOT RELY ON THE SITE AND THE GENERAL CONTENT ALONE AS THE BASIS FOR ANY DECISIONS.

NOTHING ON THIS SITE CONSTITUTES MEDICAL ADVICE, AND YOU SHOULD ALWAYS SEEK ADVICE FROM A QUALIFIED MEDICAL PRACTITIONER AS APPROPRIATE.

Liability

AESTHETIDOCS WILL NOT BE LIABLE TO YOU FOR ANY INCIDENTAL, CONSEQUENTIAL, INDIRECT, SPECIAL, PUNITIVE OR EXEMPLARY DAMAGES (INCLUDING DAMAGES FOR LOSS OF BUSINESS, LOSS OF PROFITS OR THE LIKE) ARISING OUT OF OR RELATING TO THIS SITE, INCLUDING WITHOUT LIMITATION, YOUR USE OR INABILITY TO USE THE SITE, SITE, MATCHING SERVICES, CONTENT, PROPRIETARY INFORMATION, OR ANY INTERRUPTION OR DISRUPTION OF SUCH USE, EVEN IF AESTHETIDOCS HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES AND REGARDLESS OF THE CAUSE OF ACTION (WHETHER IN CONTRACT, TORT, BREACH OF WARRANTY OR OTHERWISE). THE AGGREGATE LIABILITY OF AESTHETIDOCS WITH REGARD TO THESE TERMS WILL IN NO EVENT EXCEED £50.

Updates to the terms

Aesthetidocs reserves the right to do any of the following, at any time, without notice: (1) to modify, suspend or terminate operation of or access to the site, or any portion of the site, for any reason; (2) to modify or change the site, or any portion of the site, for any reason; and (3) to interrupt the operation of the site, or any portion of the site, as necessary to perform routine or non-routine maintenance, error correction, or other changes.

Aesthetidocs reserves the right, at its sole discretion, to change or modify portions of these terms at any time. Your continued use of the site after the date any such changes become effective constitutes your acceptance of the new or revised terms.

Jurisdiction

These terms shall be governed by and interpreted according to the law of Northern Ireland and all disputes arising under these terms (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the Northern Irish courts.

1. Introduction

These Terms and Conditions apply to all consultations, treatments, and treatment courses booked with The Private Clinic Swansea ("the Clinic", "we", "us"). By booking an appointment, paying a deposit, or purchasing a course of treatment, you ("the client", "you") confirm that you have read, understood, and agree to be bound by these Terms and Conditions. They are provided to you at the time of booking and are available on request at any time.

2. Consultation Fees

• A consultation fee is payable at the time of booking, or at the consultation itself, as advised by the Clinic.

• Consultation fees are non-refundable, including where the client decides not to proceed with treatment following the consultation.

• Where a consultation fee is subsequently offset against the cost of treatment, this will be confirmed to the client in writing or verbally at the time of booking.

3. Deposits

• A non-refundable deposit is required to secure certain appointments and treatment bookings.

• The deposit will be deducted from the total cost of the treatment on the day of the appointment.

• Deposits are non-refundable under any circumstances, including cancellation by the client, save where required by consumer protection legislation (see Clause 8).

4. Rescheduling Appointments

• Appointments may be rescheduled free of charge provided the Clinic is given at least 48 hours' notice in advance of the scheduled appointment time.

• Notice may be given by telephone, email, or the Clinic's official messaging channels, and will be confirmed by a member of the team.

• Where 48 hours' notice is given, any deposit paid will be carried forward and applied to the rescheduled appointment.

• Rescheduling is subject to appointment availability. The Clinic will make reasonable efforts to offer a suitable alternative date and time.

5. Missed Appointments and Late Cancellations

• Where less than 48 hours' notice is given, or an appointment is missed entirely ("no-show"), the deposit and/or consultation fee will be forfeited.

• Where the appointment forms part of a pre-paid treatment course, a missed appointment or cancellation with less than 48 hours' notice will result in that session being forfeited from the course. The course fee remains payable in full and no partial refund, credit, or extension will be given for the lost session.

• Repeated missed appointments or late cancellations may result in the Clinic requiring full pre-payment for any future bookings, or declining to offer further appointments, at the Clinic's discretion.

6. Treatment Courses

• Treatment courses must be paid for in full at the time of booking unless an alternative payment plan has been agreed in writing with the Clinic.

• Course payments are non-refundable once made, save where required by consumer protection legislation (see Clause 8) or where the Clinic is unable to provide the treatment (see Clause 7).

• Courses are valid for a defined period from the date of purchase, as advised by the Clinic at the time of booking. Sessions not used within this period, including those forfeited under Clause 5, will not be refunded, extended, or carried forward.

• Course sessions are non-transferable to another individual unless expressly agreed by the Clinic.

7. Clinical Suitability and Clinic-Initiated Cancellation

• All treatments are subject to a satisfactory consultation and clinical assessment. The Clinic reserves the right to decline or discontinue treatment where it is not clinically appropriate or safe to proceed.

• Where the Clinic cancels or is unable to provide a booked appointment or course session (for example due to practitioner illness or equipment failure), the client will be offered the next available appointment at no additional cost, or, where a course cannot reasonably be completed, a refund or credit for the affected sessions at the Clinic's discretion.

8. Consumer Rights

Nothing in these Terms and Conditions affects your statutory rights under the Consumer Rights Act 2015 or, where the booking was made online, by telephone, or off-premises, your cancellation rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Where those Regulations grant a right to cancel within the statutory cancellation period, any request to begin treatment within that period must be made by the client's express written request, and reasonable costs already incurred by the Clinic (including consultation time and any deposit forfeited to a practitioner or supplier) may be deducted from any refund due.

9. Payment

• Full payment for individual treatments is due on the day of treatment unless otherwise agreed.

• The Clinic accepts the payment methods displayed at reception; specific arrangements will be confirmed at the time of booking.

• Prices are correct at the time of booking but may be subject to change. Clients will always be advised of the current price before treatment is carried out.

10. Patch Tests and Contraindications

Certain treatments require a patch test prior to the first session. It is the client's responsibility to disclose all relevant medical history, medication, and contraindications at consultation and at each subsequent appointment. The Clinic accepts no liability for adverse reactions arising from information withheld by the client.

11. Complaints

Any concerns regarding treatment or service should be raised with the Clinic as soon as possible so that they may be addressed promptly. Formal complaints will be handled in accordance with the Clinic's Complaints Policy, a copy of which is available on request.

12. Data Protection

Personal and clinical information provided by clients is processed in accordance with the Clinic's Privacy Notice and applicable data protection legislation, including the UK GDPR and the Data Protection Act 2018.

13. Governing Law

These Terms and Conditions are governed by the laws of England and Wales, and the parties submit to the exclusive jurisdiction of the courts of England and Wales.

14. Acknowledgement

By paying a deposit, consultation fee, or course fee, or by attending an appointment, the client confirms acceptance of these Terms and Conditions. A signed copy will be retained on the client's clinical record where required.

Gift Voucher Terms & Conditions

Gift vouchers are valid until the expiry date stated on the voucher and must be redeemed on or before this date.

Vouchers may be used towards eligible treatments, services or products at the clinic, subject to availability and suitability following consultation where required.

Gift vouchers cannot be exchanged for cash and no cash change will be given. Where the value of the purchase is less than the voucher value, any remaining balance may be used before the original expiry date.

Appointments booked using a gift voucher remain subject to our standard booking and cancellation policy. Late cancellations or non-attendance may result in the relevant cancellation charge being deducted from the voucher balance.

Gift vouchers are non-refundable once purchased, except where required by law.

The clinic cannot accept responsibility for lost, stolen, damaged or unauthorised use of gift vouchers.

The expiry date will not normally be extended. Any extension is at the clinic’s discretion and must be agreed before the voucher expires.

Treatments are subject to consultation, medical suitability and any applicable age restrictions. Purchasing a gift voucher does not guarantee that the recipient will be suitable for a particular treatment. Where a recipient is unsuitable for the intended treatment, the voucher value may be used towards another suitable service or product, subject to these terms.

Prices may change after a voucher has been purchased. Unless the voucher specifically states that it is for a named treatment, the voucher represents the monetary value shown and any difference in price will be payable at the time of redemption.

By purchasing or using a gift voucher, the purchaser and recipient agree to these terms and conditions.
